This collection of documents includes those that cover the life of the University, all of which are defined as “active” because they are regularly required to facilitate searches in response to requests from Colleges/ Faculties and other relevant areas of the University. The current storage prevents ease of access to several documents which results in research being a tedious and highly inefficient process. The volume of the material makes the main office highly cluttered as it is necessary for files to be placed in boxes on the floor, in corners wherever space is available. Recognizing that the University is unable to address the space requirements of the Unit in a short-term, a project was initiated with the Calvin McKain Library in December 2017 to facilitate the relocation of much of the older records retained within the University Secretariat to the University Archives on an on-going basis. A system has been developed to facilitate the formal transfer of these University records and their ease of access going forward. The process is being underpinned by a systematic approach to improving the safeguarding of the quality of the records maintained within the Archives. The work will continue in the 2018/2019 financial year. Classification of University Policies A classification scheme for University Policies and Policy for the Writing of University Policies and supporting Process Flow were developed in the third and fourth quarter of 2017/2018. The documents aim to standardize the approach to the writing of policies and to clarify the review and circulation process. Further consideration is to be given to the proposed protocol in 2018/2019 and to guide the approach to the placement of the documents on the intranet. Distinguished Public Lecture A Distinguished Public Lecture was presented by Honorary Graduand Rev. Hudson-Wilkin, on “Rebuilding Trust: Integrating and Restoring our Nation,” on November 1, 2017 at the Shared Facilities Building, UTech, Ja, Papine Campus. The Rev.
